How Custom Availability Periods per Copy Work

Each copy can have its own availability period, as long as it is within the global period of the schedule.

Each schedule is defined by two dates: Opening and Closing.

All users assigned to this schedule can access their evaluation during this time frame, unless a different period is assigned to them.

When a user is assigned to a schedule, a copy is automatically created for them.

By default, this copy inherits the schedule dates.

If no date is defined on the copy, it directly uses the schedule’s opening and closing dates.

A schedule is always associated with a single evaluation, but one evaluation can include multiple schedules, each with its own settings.


Customize the period of a copy

Each copy can have its own availability period, as long as it is within the global period of the schedule.

A copy can:

  • Automatically inherit the schedule dates if no field is customized.

  • Use its own dates if either the Opening or Closing field is filled in.

Important rule: as soon as a date is customized on a copy, it becomes independent for that field and is no longer affected by changes made to the schedule.


Procedure

  • Go to the Administration menu and select the relevant session from the list.

  • Select the user and click on Choose an action > Availability period modification

  • A pop-up window will appear with the fields Opening date and Closing date.

  • Enter the desired dates and times in the Custom date fields.

  • Click on Confirm.


Synchronization rule

  • Field not filled in: the date is synchronized with the schedule’s date.

  • Field filled in: the copy uses its own date.

  • Blocked modification: if a schedule change shortens a copy’s period, the action is refused.


Examples

Example 1 – Automatic inheritance
Schedule: October 1 to October 10
Copy: no customized field
→ The copy is available from October 1 to October 10.

Example 2 – Customized period
Schedule: October 1 to October 10
Copy: opening on October 3, closing on October 7
→ The copy is available from October 3 to October 7.

Blocked example
Schedule: October 1 to October 10
Copy: October 5 to October 10
→ If you try to shorten the schedule to close on October 8, the action is blocked, because it would reduce the copy’s availability (October 9–10 would no longer be valid).
